Generally, it is only advisable to send PDFs or other documents as attachments when sending e-mail one to one, and even then, you should make sure the size of the file is not too big out of courtesy for the recipient.

Then it's much better to send a link to the file itself:

Just upload your files on a web-server (e.g. by using "Tools --> File Upload" in Otto), and link to it!
If it's e.g. a video, you can just leave it on YouTube, Vimeo or whatever service you use.

But how do I track if someone looks at this file or video or not?

You can actually track it both from e-mail and a physical send-out.

Then you may want to use a process such as this:

  1. Upload your files or videos on a web-server (e.g. by using "Tools --> File Upload" in Otto or YouTube)
  2. Create a Trackable link (e.g. in Otto by using "Tracking --> "Trackable links" and chose what send-out mechanism you will be using, e.g. e-mail or printed send-out)
  3. Optionally, you may even want to set a higher lead score if someone clicks your new trackable link and even ends up with a new triggered event (e.g. in Otto you go to "Tracking --> Page Action" and set what lead score and other actions that should be applied to those who download the file, i.e. has clicked the file's or video's URL.
  4. To make it more likely for the end-contact to actually click the link, make sure to have both
    1. the actual trackable link (that looks like a link), and
    2. an image looking like the object, e.g. the file or an actual image of a screenshot of the video (including a play-button to further encourage cliks on it) and direct clicks on it to the trackable link as well.


Now, you have a link to the file you want to send that you can even track!
